2021 Scientific Symposium
The National Council of State Boards of Nursing (NCSBN) has been holding their events virtually since mid-2020. The 2021 Scientific Symposium had up to 17 virtual presenters recorded remotely in advance, then tuning in live for a virtual discussion with participants on the day of the event.
We were tasked with the pre-event remote recording and editing of these presentations. The idea was to use the presenters’ available resources at their home or wherever they were located (their own camera and mic, available lighting, etc.), along with potentially sending small production kits to those lacking the necessary resources.
To find out who needed what, we put together a questionnaire for each presenter to fill out and submit back to us, in order for us to take inventory of what everyone has. If someone did not have an external webcam, external microphone, or appropriate lighting in their space, we sent them a kit.
Each kit contains a webcam, microphone, headset, light, tripods for the light and webcam, a USB hub, and adapters to be able to work with all connections. After compiling the answers to the questionnaires, we ended up sending kits to just under half of the presenters. The remaining presenters used their own equipment for the recording. Part of each session involved a setup and testing period with the gear we sent, or their own, before we began recording.
Over a three week span, we recorded 17 presentations, a few of them with more than one speaker in a presentation. Afterwards, their slides and materials were provided, and we edited them into a polished video for showcasing on the day of the live event.
The event itself is a live event with the presentations organized into different tracks and breakout rooms. When an attendee is viewing the presentation, it begins with a speaker introduction from the event host, then showing the pre-recorded presentation video in its entirety, followed by the speaker chiming in for a live Q & A with the audience.
